  • Payment information (processed securely by Momence — we do not store your card details)

  • Any other information you choose to provide, such as health or fitness notes if requested at booking

b) Automatically collected information

When you visit our Site, limited technical data may be collected, such as your IP address, browser type, and pages visited, typically via cookies or similar technologies (see the Cookies Policy below).

2. How We Use Your Information

We use your information to:

  • Process and manage your class bookings

  • Send booking confirmations, reminders, and studio updates

  • Send marketing emails and newsletters, where you've opted in

  • Respond to enquiries you send us

  • Improve our Site and services

  • Meet our legal and regulatory obligations

3. Legal Basis for Processing

Under UK GDPR, we rely on the following legal bases:

  • Contract: to process your booking and provide the class you've paid for

  • Consent: for email marketing communications, which you can withdraw at any time

  • Legitimate interests: to improve our services and communicate essential updates about your bookings

4. Booking and Email Platform: Momence

We use Momence, a third-party booking and marketing platform, to manage class bookings, payments, and email list sign-ups. When you book a class or subscribe via our Momence-powered widget, your information is collected and processed both by us and by Momence, acting as our data processor.

Momence may also process your data in accordance with its own privacy policy.

We choose service providers like Momence who provide appropriate safeguards for your personal data.

5. Sharing Your Information

We do not sell your personal information. We share it only with:

  • Momence, to facilitate bookings, payments, and email communications

  • Professional advisors (e.g. accountants, legal advisors), where necessary

  • Regulators or authorities, where required by law

6. Data Retention

We retain your personal information for as long as necessary to fulfil the purposes described in this policy, including to satisfy legal, accounting, or reporting requirements. Email marketing data is retained until you unsubscribe or request deletion.

7. Your Rights

Under UK GDPR, you have the right to:

  • Access the personal information we hold about you

  • Request correction of inaccurate information

  • Request deletion of your information

  • Object to or restrict certain processing

  • Withdraw consent to marketing at any time (e.g. via the unsubscribe link in our emails)

  • Lodge a complaint with the Information Commissioner's Office (ICO)

You can find out more or lodge a complaint at ico.org.uk

To exercise these rights, contact us at [insert email address].

8. Data Security

We take reasonable technical and organisational measures to protect your personal information against unauthorised access, loss, or misuse. However, no method of transmission over the internet is 100% secure.

9. International Transfers

Momence may process or store data outside the UK. Where this happens, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses, in line with UK GDPR requirements.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated "Last updated" date.

Cookies Policy

This Cookies Policy explains how Legacy Pilates Ltd uses cookies and similar technologies on this Site. It should be read alongside the Privacy Policy above.

1. What Are Cookies?

Cookies are small text files placed on your device when you visit a website. They help websites function properly, remember your preferences, and, in some cases, gather information about how the site is used.

2. Cookies We Use

a) Strictly Necessary Cookies

These are essential for the Site to work properly, including enabling our booking widget (provided by Momence) to function — for example, keeping track of your booking session as you select and pay for a class. These cookies cannot be switched off, as the Site would not work properly without them.

b) Website Platform Cookies

Our Site is built using Squarespace who may set its own essential cookies to enable core site functionality, such as page loading and security.

c) Analytics or Marketing Cookies

We do not currently use analytics (such as Google Analytics) or advertising/tracking cookies (such as Meta/Facebook Pixel) on this Site. If this changes in future, we will update this policy and, where required, request your consent via a cookie banner before any non-essential cookies are set.

3. Third-Party Cookies

Because our booking and email sign-up widget is provided by Momence, Momence may set its own cookies when you interact with the widget, in accordance with its own Cookies/Privacy Policy. We do not control these cookies directly.

4. Managing Cookies

You can control or delete cookies through your browser settings. Most browsers allow you to:

  • View what cookies are stored and delete them individually

  • Block third-party cookies

  • Block all cookies from specific or all sites

  • Delete all cookies when you close your browser

Please note that blocking strictly necessary cookies may prevent our booking widget from working correctly.

Guidance on managing cookies in common browsers:

Chrome

Safari

Firefox

Edge

5. Changes to This Policy

We may update this Cookies Policy from time to time, for example if we introduce analytics or marketing tools. Any changes will be posted on this page with an updated "Last updated" date.
